Sendings

You can track each unique sending and check its status using the ‘Sendings’ page.

  • Go to the ‘Sendings’ page

  • You can search for and track a specific sending using the search fields at the top of the page

TRACK SENDING

In the search field ‘Status', you can filter by 4 types of business statuses:

  • Not started: This means that the sending process hasn’t started yet. This status only applies to digital registered mail.

  • In progress: This means that the sending process is still in progress. A sending process can consist of multiple sending tasks. This depends on how your workflow is set up.

  • Success: This means that the sending process has been completed and the document has been successfully delivered to the addressee.

  • Failure: This means that your sending cannot be successfully delivered to the addressee. Click on that specific sending to see more details. To know the detail status of the sending, click on the eye on the right.

 

CHECK STATUS

At the top, you will see a timeline with the various channels that are included in the workflow.

Click on the icons of the channels to view more details.

Below, we go over the different statuses for each channel:

E-mail

In this example, the workflow consists only of a regular e-mail.

  • Received: The mail was well received in the portal

  • Delivered: Your mail has been successfully delivered.

  • Opened: Your mail has been opened

  • End

 

Secured e-mail

In this example, the workflow consists of a secured e-mail and print task. Below, we discuss the statuses of the secured e-mail.

  • Received: Your document was received by EasyPost.

  • Documents signed: A digital fingerprint was added on the attachment. The attachment in your secured email is now sealed.

  • Delivered: The secured email has arrived in the recipient's mailbox.

  • Documents download started: The secured email has been accepted by the recipient.

  • Documents downloaded: The recipient has downloaded the attached documents.

  • End

 

Print

In this example, the workflow consists of a secured e-mail and print task. Below we discuss the statuses within the print channel.

  • Received: Your document was received by EasyPost

  • Transferred: Your document(s) are sent to our printer

  • Printed: Your document(s) are printed

  • Folded: Your document(s) are folded

  • Sort: Your sendings are sorted

  • Delivered: Your sendings have been delivered to Bpost

  • End

 

 

When you send a registered mail via the print channel, you can find the proof of delivery (EPOD) in the details of the relevant sending. As soon as the barcode turns yellow, you can click on it and download your EPOD.

Rejected: Besides the portal that provides a first notification whether the document to be sent has been processed correctly, there is an additional quality check. Through our quality application, the operator can flag sendings where he/she notices that the address is incomplete. Documents that cannot be sent via bpost due to missing address details are given the status 'rejected'.

 

 

To download the relevant document, click the 'Download document' button.

Sendings report in Excel

On the page Sendings you can now export an Excel report containing al the information that is visualised in the portal. In this way you can do your own analytics on a specific group of sendings.

On the left-hand side, mark the sendings for which you want to create a report and then click the 'Export to ZIP' button. Your overview will be downloaded immediately.

  • Example 1: The client can see how many sendings where successful via the first channel (for example secured e-mail) or where successful via the second channel.

  • Example 2: The client can see how many of the sendings are payed via de POM paylink.

 

Collect recipient opt-in details

When you have added a paylink to your document, the recipient can scan the QR code or click on the paylink to pay the invoice. In addition, you can also use the paylink as an opt-in tool. This way, the recipient can leave his e-mail address if he wants to receive his document digitally in the future.

The e-mail addresses are stored behind in the portal. Via the 'Export to ZIP' button, you can do an export to collect all opt-ins.
